How? Once a customer ticket is being sent, it will be processed by customer service, consultants and accounting. In order to provide the obligatory security for mentioned data, it\u2019s important to know how to search for it in company systems and delete it.<\/p>\n<p>[\/vc_column_text][\/vc_column][\/vc_row][vc_row][vc_column][heading title=&#8221;How to define data privacy?&#8221; heading=&#8221;h2&#8243; font_weight=&#8221;&#8221; el_id=&#8221;1627039521578-f069b74c-4e98&#8243;][vc_column_text]Data privacy means securing personal data from being abused or stored in an unsafe manner. This applies that the data owner needs to have to the right of self-determination concerning his data. In Germany, this right is part of the constitution. For clear delimitation from other data, it\u2019s defined which data is being referred to as personal data under the data privacy law. In case of violation of those rules, the law also provides sanctions (Art. 77 ff GDPR), which in the past have been up to multiple millions fines for well-known companies.[\/vc_column_text][\/vc_column][\/vc_row][vc_row][vc_column][heading title=&#8221;What is personal data?&#8221; heading=&#8221;h2&#8243; font_weight=&#8221;&#8221; el_id=&#8221;1627039544327-f261eef9-71e9&#8243;][vc_column_text]<\/p>\n<p data-renderer-start-pos=\"1391\">Personal data (PII: personally identifiable information) under the data privacy law can be defined as sensitive data. It\u2019s related to any kind of data being used for identifying a person. It\u2019s protected explicitly in terms of usage, storage and disclosure.<\/p>\n<p data-renderer-start-pos=\"1649\"><strong data-renderer-mark=\"true\">Examples for personal data (PII)<\/strong><\/p>\n<ul class=\"ak-ul\" data-indent-level=\"1\">\n<li>\n<p data-renderer-start-pos=\"1685\">Name and address<\/p>\n<\/li>\n<li>\n<p data-renderer-start-pos=\"1705\">Birthdate<\/p>\n<\/li>\n<li>\n<p data-renderer-start-pos=\"1718\">IP address<\/p>\n<\/li>\n<li>\n<p data-renderer-start-pos=\"1732\">Social security number<\/p>\n<\/li>\n<li>\n<p data-renderer-start-pos=\"1758\">ID card number<\/p>\n<\/li>\n<li>\n<p data-renderer-start-pos=\"1776\">Bank account information<\/p>\n<\/li>\n<li>\n<p data-renderer-start-pos=\"1804\">License plate<\/p>\n<\/li>\n<li>\n<p data-renderer-start-pos=\"1821\">Etc.<\/p>\n<\/li>\n<\/ul>\n<p>[\/vc_column_text][\/vc_column][\/vc_row][vc_row][vc_column][heading title=&#8221;Why should you pay attention to personal data in your Jira and Confluence?&#8221; heading=&#8221;h2&#8243; font_weight=&#8221;&#8221; el_id=&#8221;1627039566461-c89bbe08-314d&#8221;][vc_column_text]<\/p>\n<p data-renderer-start-pos=\"1907\">Let\u2019s keep the answer simple: Those who are not, will find themselves confronted with massive penalties at some point. Because data privacy laws in Europe (known under GDPR, in Germany explicitly under DSGVO), but also in countries like the USA and Brazil, set clear rules.<\/p>\n<p data-renderer-start-pos=\"2182\"><u data-renderer-mark=\"true\">The problem: <\/u>Even though high sanctions are already imposed worldwide and the media is talking about it, many companies still do not know a lot about data privacy. Data breaches or risks are being overseen or misjudged. Therefore, the Australian company has published a \u201c<a class=\"sc-dwztqd huQySe\" title=\"https:\/\/www.atlassian.com\/trust\/privacy\/country\/europe-and-gdpr\" href=\"https:\/\/www.atlassian.com\/trust\/privacy\/country\/europe-and-gdpr\" data-renderer-mark=\"true\">GDPR Commitment<\/a>\u201c, which officially addresses all kinds of regulations and technical features connected to data privacy in Jira and Confluence. One example would be the \u201cright of erasure\u201d. ISO\/IEC standards are also mentioned. In case of data storage, Atlassian communicates what hosting looks like in detail.<\/p>\n<p data-renderer-start-pos=\"3195\">But, you as a company are responsible for data privacy as well. Simply because you\u2019re signing a contract with your customer, employee etc. and will receive their data. If a customer requires information on personal data, the anonymization or deletion, it\u2019s your responsibility to react.<\/p>\n<p>[\/vc_column_text][\/vc_column][\/vc_row][vc_row][vc_column][heading title=&#8221;Do it right: How to search for, find and handle personal data in Jira and Confluence&#8221; heading=&#8221;h2&#8243; font_weight=&#8221;&#8221; el_id=&#8221;1627039677297-a150b8cf-01e6&#8243;][vc_column_text]<\/p>\n<p data-renderer-start-pos=\"3571\">If PII is being stored in companies, handling their security is of importance. Therefore, you need experts like data protection officers or admins with the right education. They will establish processes for data storage, processing and following data privacy laws.<\/p>\n<p data-renderer-start-pos=\"3837\">This all starts with defining which data is being stored, for which purpose and where it will be saved inside your Jira and Confluence. Users will have to accept those terms at the beginning. When requested, you should be able to find this data quickly. Maybe in connection to the users \u201cright of information\u201d, or because of their \u201cright of erasure\u201d, which means that you will have to delete all personal data.<\/p>\n<p data-renderer-start-pos=\"4249\"><strong data-renderer-mark=\"true\">Common ways<\/strong><\/p>\n<p data-renderer-start-pos=\"4262\">Many companies work with self-developed scripts for data privacy, which are supposed to reduce manual tasks. They are also supposed to help with data search and erasure in Jira and Confluence.
