Confluence DLP has to work inside the content itself, scanning pages, blog posts, comments, attachments and page history for sensitive data that is already stored, then redacting or removing what it finds. Most tools marketed as &#8220;Confluence DLP&#8221; fall into one of three groups, and they solve genuinely different problems. This page explains the difference and how to tell which one you actually need.<\/p>\n<h2>Why Confluence is a harder DLP problem than it looks<\/h2>\n<p>Confluence is where organisations write things down. That makes it uniquely likely to accumulate personal data, and uniquely awkward to clean up, because the data ends up in five different places:<\/p>\n<ul>\n<li><strong>Page bodies.<\/strong> The obvious one, and the only place most people look.<\/li>\n<li><strong>Page history.<\/strong> The one nearly everyone misses. Deleting a customer&#8217;s phone number from the current version of a page does not remove it from the previous fifty versions. Under GDPR, that data still exists and is still yours to account for.<\/li>\n<li><strong>Comments.<\/strong> Often where the sensitive detail actually lives, because that is where people paste context.<\/li>\n<li><strong>Attachments.<\/strong> Spreadsheets of contact data, scanned forms, exported reports. Confluence search cannot see inside them.<\/li>\n<li><strong>Blog posts and personal spaces.<\/strong> Routinely excluded from cleanup projects because nobody remembers they are there.<\/li>\n<\/ul>\n<p>Native Confluence search does not help with any of this. It matches words, not patterns, so it cannot find &#8220;any IBAN&#8221; or &#8220;any national ID number&#8221;, and it does not look inside attachments or page history at all.<\/p>\n<h2>The three approaches to Confluence DLP<\/h2>\n<h3>1. External SaaS DLP platforms<\/h3>\n<p>Tools such as Nightfall, Metomic and Strac connect to Confluence over the API, pull content into their own infrastructure, scan it there and report findings back. They tend to be strong on detection breadth and on covering many SaaS applications at once.<\/p>\n<p><strong>The trade:<\/strong> your Confluence content leaves Atlassian and is processed on a third party&#8217;s systems. For a European organisation running a GDPR programme, that adds a processor to your record of processing activities, a data processing agreement to negotiate, and a transfer question to answer. Sometimes that is perfectly acceptable. Sometimes it is the reason the project stalls in review.<\/p>\n<h3>2. Atlassian-native apps<\/h3>\n<p>Marketplace apps run inside Atlassian and scan Confluence in place. Because they operate within the platform, content does not move to a third party, and they can reach things an external integration often cannot, such as page history.<\/p>\n<p><strong>The trade:<\/strong> they cover Atlassian only. If your requirement spans Slack, Google Drive and Confluence together, a single-platform app is not the whole answer.<\/p>\n<h3>3. Classification and labelling tools<\/h3>\n<p>These identify and tag sensitive content so that policy can be applied to it later. Useful for governance and for demonstrating that you know where your data is.<\/p>\n<p><strong>The trade:<\/strong> classification tells you where the problem is. It does not remove it. If your driver is a right-to-erasure request, labelling alone does not discharge it.<\/p>\n<h2>The question that decides it: where is your content processed?<\/h2>\n<p>For most European buyers this is the deciding factor, and it is worth asking every vendor directly.<\/p>\n<p>An external SaaS DLP platform necessarily processes your Confluence content on its own infrastructure. An Atlassian-native app may or may not, depending on architecture. It is a fair question to put to any vendor: <em>when you scan our content, where does that computation happen, what do you retain, and for how long?<\/em><\/p>\n<p>For Data Protection Toolkit on Atlassian Cloud, the answer is that the app fetches data from the Cloud and performs all calculation directly in the user&#8217;s browser. No personal data is stored or passed to third parties. Only meta and configuration data is retained, under an anonymized user ID.<\/p>\n<h2>What to look for when evaluating<\/h2>\n<p>Six questions that separate tools quickly:<\/p>\n<ol>\n<li><strong>Does it scan page history, or only current versions?<\/strong> This is the single biggest gap in practice.<\/li>\n<li><strong>Does it read attachments?<\/strong> And if so, can it handle scanned documents and images, or only text files?<\/li>\n<li><strong>Does it remediate, or only report?<\/strong> Detection alone leaves you with a spreadsheet of problems and no way to fix them in bulk.<\/li>\n<li><strong>Which country formats does it recognise?<\/strong> A tool tuned for US social security numbers will miss a German Steuer-Identifikationsnummer, a Polish PESEL or a Swiss AVS number.<\/li>\n<li><strong>Can you add your own patterns?<\/strong> Every organisation has internal identifiers that no vendor ships out of the box.<\/li>\n<li><strong>Can it run on a schedule?<\/strong> Compliance is continuous. A one-off cleanup is out of date the week after you run it.<\/li>\n<\/ol>\n<h2>How Data Protection Toolkit approaches it<\/h2>\n<p>Data Protection Toolkit is an Atlassian Marketplace app that scans Confluence in place: pages, blog posts, comments, attachments and page history. It ships <strong>62 built-in detection patterns covering 27 countries<\/strong>, including 32 national identification formats and 20 country-specific phone formats, alongside general patterns for email addresses, IBANs, credit cards, UUIDs and IP addresses.<\/p>\n<p>That European depth is deliberate. The library includes the German Steuer-Identifikationsnummer and Rentenversicherungsnummer, the Austrian ZMR-Zahl, the Italian Codice Fiscale, the Polish PESEL, the French INSEE code, both Swiss AVS formats and the British National Insurance and NHS numbers. If your obligation is GDPR rather than a US privacy statute, that is the coverage that matters.<\/p>\n<p>Beyond the built-in library, you can write your own RegEx rules for internal identifiers such as customer numbers or contract references. If you would rather not, <strong>Actonic will write, test and hand over custom patterns for you free of charge.<\/strong><\/p>\n<p>Once found, data can be redacted, replaced, commented on or reported in bulk, and scans can run on a schedule so that compliance is continuous rather than a one-off project. The same app also handles user anonymization for right-to-erasure and data subject access requests, and consent forms with acceptance tracking. It runs on Confluence Cloud and Confluence Data Center.<\/p>\n<p><strong>Where it is not the right fit:<\/strong> if you need one DLP policy spanning Confluence, Slack, Google Drive and your endpoints together, a cross-platform SaaS DLP suite is the better architecture. Data Protection Toolkit is deliberately Atlassian-only, which is what allows it to go deep into page history and process content in the browser.<\/p>\n<h2>Frequently asked questions<\/h2>\n<h3>Is Confluence DLP the same as network DLP?<\/h3>\n<p>No. Network DLP inspects data in transit, at the perimeter or on endpoints. Confluence DLP inspects data at rest inside the application, in pages, comments, attachments and page history. They cover different stages and are not substitutes for each other.<\/p>\n<h3>Does Confluence have built-in DLP?<\/h3>\n<p>Not in the sense meant here. Confluence has permissions and space restrictions, which control who can see content. Atlassian Guard Premium adds policy and detection across an Atlassian organisation. Neither one finds sensitive data by pattern across page history and attachments, and neither removes it in bulk.<\/p>\n<h3>Can Confluence page history contain personal data after I delete it from a page?<\/h3>\n<p>Yes, and this catches a lot of teams out. Editing a page creates a new version; the old versions remain, including whatever was in them. Removing personal data properly means addressing the history as well as the current version.<\/p>\n<h3>Can DLP tools scan Confluence attachments?<\/h3>\n<p>Some can and some cannot, and it is worth checking specifically.
